YoungShip Texas events are where connections happen—where maritime professionals meet, network, and build the relationships that define their careers. As Events Associate, you'll be the operational backbone that makes these moments possible. Working closely with the Event Director, you'll handle the logistics, manage the details, and ensure every event runs seamlessly from setup to teardown. This is a hands-on role perfect for someone who thrives in fast-paced environments and wants to gain practical experience in event management while building their maritime network.

Core Responsibilities

  • Assist the Event Director with pre-event logistics, including venue communication, vendor agreements, and catering coordination

  • Maintain the ‘Black Box’ (event kit) and organize branded materials like name tags, stands, and signage to ensure we are always event-ready.

  • Lead setup and teardown on event days; manage registration/welcome desks and verify technical needs (sound, mics, etc.).

  • Coordinate with the Sponsorship Co-Chairs and Events Director to ensure sponsor visibility is perfectly executed (e.g., logo placement and signage).

  • Track supply shortages during events and report needs to the Event Director and Board Secretary.

  • Attend at least 80% of events and participate in quarterly in-person board meetings and pre-/post-event syncs.

Qualifications & Skills

  • A strong desire to build a career and network within the Texas maritime and logistics industry.

  • Highly organized with the ability to manage physical materials and meet logistics deadlines.

  • Comfortable acting as the face of YoungShip at registration desks and interacting with sponsors and attendees.

  • Ability to identify on-site needs (technical issues, supply shortages) and resolve them quickly.

Time Commitment

  • Board Meetings: 1 – 1.5 hours, and highly encouraged

  • Coordination & Syncs: 1 – 2 hours (Working with the Event Director)

  • Event Coordination & Prep: 3 – 4  hours (varies by event scale)
